OVERVIEW JOB FUNCTION

While working as an executive assistant, you will be tasked with providing assistance to the President and other members of the executive team with regard to all matters of administration. The person in this position assists with performing the operational functions of the department, ensuring that administration procedures are followed and that all executives are assisted where needed. This position will also provide daily assistance to the Human Resources department.

ESSENTIAL JOB RESPONSIBILITES

  • Manage complex calendars (meetings on and off-site)
  • Book and prepare travel (air, hotel, transportation, agenda)
  • Prepare reports, presentations and data
  • Handle confidential information with tact and diplomacy
  • Conduct research on ad hoc tasks
  • Gather and analyze information across departments to provide executive with material to make educated decisions
  • Plan company events and help with special projects
  • Assist with personal matters on a case-by-case basis
  • Monitor/follow-up on action items and correspondence
  • Record meeting minutes
  • Complete errands and assignments
  • Schedule client meetings, calls and appointments. Assist with meeting coordination for executive team, including Skype call setup.
  • Arrange travel for employees and guests of the company
  • Open, sort and prioritize incoming correspondence (email, mail, phone)
  • Provide backup support to HR department covering various administrative tasks – timecards, overtime reports, scheduling interviews, ensure onboarding paperwork is completed properly and timely, generate letters and other documents as needed.

JOB QUALIFICATIONS

  • 3-5 years’ experience in administration
  • 2-3 years’ experience supporting upper management
  • Comfortable in fast-paced environment
  • Flexibility when it comes to working hours
  • Ability to maintain composure
  • Independent and able to work without direction or supervision
  • Ability to prioritize and tackle tasks in an effective manner
  • Proficient in Microsoft Office
  • Excellent written and verbal skills
  • Excellent interpersonal skills
  • Demonstrate integrity
  • Ability to anticipate needs
  • Avert crises, and resolve problems independently
  • Ability to work across teams/departments on a variety of subjects

PHYSICAL ACTIVITIES AND REQUIREMENTS

Must be able to communicate and exchange information effectively. Must be able to detect and obverse tasks needing your attention. Must be able to operate a computer and other office productivity machinery, such as a calculator, copy machine and printer.
